An escape room slot doesn't do half-measures: either the full group shows up at the exact time, or the whole slot is lost — there's no way to backfill it afterwards like a restaurant table. Running it over the phone or a shared spreadsheet makes it easy for two bookings to land on the same slot in the same room without anyone noticing until both groups turn up at the door.

With several rooms running in parallel — each with its own maximum player count — it's common to end up jotting down slots by hand in a diary or a spreadsheet shared between shift staff. That works while volume is low, but on a weekend, with birthdays and bachelor parties all booking the same time window, it's easy to double-book a slot, forget to block the reset time between sessions, or confirm more players than the room can physically hold.
